We are currently seeking a qualified Administrative Assistant/Receptionist to join our friendly team of professionals! Administrative Assistant / Receptionist It's said that there's no second chance to make a first impression. In this exciting and diverse role, you'll be the first impression many people have of us, the voice of us to those calling on the phone and the face of us to those visiting our office. But this job is about more than answering phones and being friendly, your initiative and organization will keep us running at top performance, while your enthusiasm and ideas will shape the environment in which we all work. We will rely on your proactive nature and ability to effectively multi-task and prioritize projects in a deadline-sensitive environment. We will rely on your previous administrative experience and professionalism to actively support the day to day administrative functions including providing administrative support to our Operations, Investor Relations and Legal and Compliance departments. Reporting directly to the Office and Human Resources Administrator, you will provide support on projects for all Lighthouse employees. Other responsibilities include: · Professionally greet and direct all visitors, including vendors, clients and job candidates · Ensure completion of all paperwork and office logs including sign-in and security procedures · Maintain company phone directory · Manage inventory and order kitchen/office supplies · Coordinate transportation services and other travel related logistics for guests · Assist with month-end work flow, including word processing, database management and special mailings · Assist with multiple administrative projects and reports Qualifications: Our ideal candidate will possess at least 4 years of recent work experience in providing administrative support to all levels of a fast-paced mid-sized corporate office. Proficiency in MS Word, Excel and Outlook and intermediate knowledge of Access is required. Candidates must also possess a demonstrated ability to coordinate multiple projects simultaneously, including providing necessary project status follow-up. The ability to work independently while fostering a collaborative team environment is essential. In addition, the commitment to quality service and strong attention to detail is also required.
